Our use of AI
Where LEMEG Architects uses an AI assistant, and the rules that keep professional responsibility with the people who sign the work.
LEMEG Architects uses an AI assistant for administrative and documentation work. This page states where it is used and the rules that apply. This website itself contains no AI features.
Where we use it
- Preparing meeting minutes from recorded meeting notes, on LEMEG’s controlled minutes template.
- Programme analysis and fee-calculation workbooks, with every workbook checked for hard-coded figures and formula errors.
- Financial review and accounting-system set-up, with corrections recorded.
- Drafting and maintaining the practice’s Quality Management System.
The rules we apply
- No AI output is issued without review by a person.
- Facts are checked against source documents before they are relied on.
- Professional sign-off stays with the registered professional or Member.
- Banking details, identity documents, health information and information restricted by a confidentiality agreement are not entered into an AI tool without a Member’s authorisation.
- Personal information is handled in line with the Protection of Personal Information Act 4 of 2013 (POPIA). De-identified information is used where possible.
- The terms of the AI provider, including data retention and use for training, are reviewed annually.
Recording meetings
Where a meeting or call is recorded, LEMEG’s policy is open disclosure to the participants, and the underlying recording is kept where it is relied on to resolve a dispute about verbal instructions.
Status
LEMEG’s Artificial Intelligence Use and Document Automation Policy was approved on 18 October 2026 and forms part of the Quality Management System. A standard for how instructions to AI tools are written and controlled is in preparation.
